Nurseries

  • Kalendit uses technology to match nurseries with the right educator. But Kalendit’s team is always happy to assist you. You can reach them at ops@kalendit.com.

  • You can easily create a new password here: https://account.kalendit.com/resetting/request. Alternatively, you can do the same using the “Kalendit for Nurseries” app on your smartphone.

  • Access to the platform is free. Kalendit is pay-as-you-go and charges a booking fee per booking. Standard fee is currently at 23%, Loyalty fee at 20%. VAT is only applied to the booking fees.   • We encourage nurseries to first trial the Educators through normal shift bookings. If the fit is right on both sides, Kalendit will charge a discovery fee of the Educator’s gross annual salary. Details of the fees can be found here: https://www.kalendit.com/nursery-school-fees

    Hiring a Kalendit Educator without disclosing it and honouring the discovery fee constitutes a serious breach of our terms and conditions and will lead to legal action. Kalendit also reserves the right to disclose publicly its experience with rogue clients to help improve sector practices.

  • Go into your Kalendit profile, click on ‘Add a New Booking’, fill all the required fields and click ‘Save’. 

    You will need to select the days, hours, qualifications and add an unpaid break if the request is for more than 5 hours. 

    A Booking is of 4 hours minimum and 60 days maximum. 

    If you’ve used Kalendit before, you will be able to send your requests to specific educators who have worked in your nursery before, or to all your Favourite educators 

    You can also ask specific queries in the box at the bottom of the page, such as “Please bring your ID and DBS, socks and a change of clothes.”

  • A Nursery can only edit a booking during its “creation phase” and before it has been accepted by an educator. 

    To modify a booking that has been accepted by an educator, you will need to delete it and start again. 

    Alternatively, you can ask a Kalendit team member to edit the booking on your behalf.

  • Go into your bookings and press the bin button next to the booking you wish to cancel. 

    Please note that bookings can only be cancelled up to 24 hours before their start time.

    If a nursery cancels a shift within the 24 hour window, resulting in a “Last Minute cancellation”, it will need to indemnify the educator by paying 4 hours at the agreed rate including Kalendit fees. This is automated by our system and you will receive an email. 

    Remember that repetitive cancellations might deter educators from accepting your bookings in the future.

  • Single bookings can be for 60 days maximum. If you need staff for longer periods you will need to make several bookings. 

    If you wish to make a long-term booking with only selected days, you will need to exclude the unwanted days. 

    Before confirming your block-booking, you will have a chance to review it in detail to edit or cancel single days.

  • Any booking made 13 hours or less before its start time will be considered a Last Minute request and be priced automatically at a higher rate in order to incentivise workers. 

    Since the goal is to find an educator ASAP, the request will reach all educators instantly and will bypass your favourites.

  • Each time a new educator visits your nursery, you will have the option to ‘star’ this educator so that they become one of your favourites. 

    Favourite educators will receive your requests ahead of others. If they are not available, the request will then reach other educators with similar profiles. 

    You can easily remove staff from your favourites by simply un-starring them. 

    Favourites will become like an extended part of your team. This can also pave the way for potential permanent hires.

  • It is an automated way to make sure that your shift will get covered in no time by offering mitigating options in case your booking is not filled. These options include changing the qualification or the hourly rate.  

    While creating your request, you will be asked to OPT IN or OPT OUT for Coverage Optimisation.

  • Your booking will be marked as 100% covered in your booking section. 

    You will also receive a confirmation email and a push notification in the app every time a booking is accepted or deleted.

  • Our system will automatically look for a replacement with an equivalent Educator. 

    You will receive an email about the cancellation and also be notified when a replacement has been found.

  • You will receive a reminder notification on your app asking you to confirm or edit the hours of every single shift post-completion. If you are not in a position to do this instantly, you will be able to do it later from the Review section on our website or app. Please note that timesheets need to be reviewed and confirmed every week by Monday at midday. Afterwards, invoices will be issued and no more changes will be possible.

  • You are encouraged to rate and share constructive feedback with educators after each shift. You can do this at the end of the Timesheet review after confirming the hours. 

    Feedback is a great way to keep educators engaged and motivated, as well as helping them to progress.

Parents

  • Parents can register for free, downloading the “Kalendit for parents” app for iOS/Android here.

  • After the registration, go to the “Favourites” section, where you will be able to browse sitters. Shortlist at least 5 preferred sitters in order to make a booking. Your request will be sent to those preferred sitters who will be able to accept it on a first come, first served basis. If none of your shortlisted sitters is available, the request will be sent to sitters with similar profiles. You will receive a confirmation email and you will be able to view the sitter’s profile in the app, in your booking.

  • You can cancel a sit up until 24h before its start by clicking on the bin button next to the booking. The nanny will be automatically notified of the cancellation.

  • You will need to pay the sitter 25% of the booking’s value at the agreed rate and Kalendi’s pro rata fees as per our terms and conditions.

  • The same 24h rule applies to the sitter: cancellations made 24 hours before the booking are not permitted. Sitters cancelling within the 24 hour window will be suspended from the platform as reliability is one of our core values.

    Then, our system will automatically look for replacement with a sitter with a similar profile. If in doubt, don’t hesitate to contact us at ops@kalendit.com

    If the sitter cancels less than 24 hours before and no replacement can be found, the parent will receive a sit with no booking fees attached to make up for the inconvenience.

  • You can modify the terms of booking while it is not filled yet. Once a sitter accepts a booking you can no longer modify the terms. You will need to cancel the booking and make a new one.

  • You will be charged the nanny’s hourly rate, plus Kalendit’s booking fee (with VAT). You decide the hourly rate for your booking. Kalendit charges a 9% booking fee (VAT included).

    Example: A booking of 5 hours at £13 per hour will cost:

    £13 x 5 + (£13 x 5 x 9%)

    £65 (sitter’s pay) + £5.85 (Kalendit fees, inclusive of VAT) = £70.85

    • Enhanced DBS checks no older than two years;

    • Employment references: a minimum of two covering the past 24 months;

    • ID check;

    • Right to Work in the UK check;

    • Valid Paediatric First Aid;

  • After the end of every shift, you will receive a text message allowing you to amend the hours if necessary. Please note you will have 48 hours to amend or confirm the shift’s duration.

  • Any specific skills including languages will be displayed in the sitter’s profile. Go to the “Favourites” section on our app, to browse nanny profiles.

  • Any specific skill including languages, sports, drama or any specific experience such as with newborn, twins or special needs children will be displayed in the nannies’ profiles. Go to the “Favourites” section on our app, to browse nanny profiles.

  • All Kalendit sitters are experienced childcare professionals with extensive experience in nurseries, schools and families.

  • During sign-up, you will be asked to add your card details.

    Payments will be automatically taken from your card (via Stripe), at the end of each shift. Please note that off-platform payments are a breach of our T&C.

  • Once your request has been accepted, you will be able to contact the sitter directly. Go to the booking and tap on the sitter’s icon and it will display their entire profile including their contact details.

Educators

  • In order to work in nurseries and/or families, you will need to create a profile on our mobile app “Kalendit for Educators”: http://onelink.to/kalendit

    You will need to provide your Right to work in the UK, a valid ID, your qualifications if you have any, your DBS check if you hold one.

  • Joining Kalendit is free. However, Kalendit charges a booking fee which will vary depending on your usage. 

    Kalendit also helps Educators earn more via referrals and a series of bonuses.

  • During the registration process, your account will not be activated until you have completed all the onboarding steps. 

    Once approved, your account may later be paused due to expired documents or upload of new documents which need to be checked by the Kalendit team.

  • A Disclosure and Barring Service check, or DBS check, is a criminal record check in the UK. To work in The Early Years Education, you need to hold a clear enhanced DBS check no older than 2 years. 

    Many nurseries and schools also request that educators join the DBS Update Service which allows nurseries and schools to check your criminal record in real time.

    A candidate cannot apply for his own enhanced DBS check and needs to do it via a third-party.

  • You can join the Update Service on the government website here: https://secure.crbonline.gov.uk/crsc/apply?execution=e1s1

    Joining the Update Service is required by most nurseries and schools so it is important that you join it to maximise your work opportunities. 

    Being on the update service will also help you save money as it will spare you the cost of re-applying for a new DBS over time. You will only need to pay the annual subscription fee which is much less than the cost of the DBS.

  • Yes. Nurseries regularly request both qualified and unqualified staff to cover their staff-per-children ratios. Having a qualification will however help you get more and higher-paid jobs. 

    But working hard, being proactive and professional is also a good way to get noticed by nursery managers and become a favourite staff on the Kalendit platform, whether you have qualifications or not. 

    Unqualified childcares can also work as a nanny or babysitter in families. For these types of jobs, experience and other skills such as cooking, bathing and putting the children to bed as the ability to care and entertain a child on a one-to-one basis tend to be more important than qualifications. 

  • You need to hold a Right to work in the UK, an enhanced DBS certificate, and have at least two professional or academic references that cover the last 24 months of employment. A passion for childcare and some experience caring for young children aged 0-5 is a must. An ability to work as part of a team and good communication skills are also key.

  • You will need to provide the same information as for working in nurseries.

    You will also need to have a valid Paediatric First Aid certificate and a Nanny Insurance. If you don’t have one, please contact ops@kalendit.com and we will connect you with our partners. 

  • Make sure you wear comfortable, dark-coloured clothes, flat shoes and socks. Long nails are not permitted for hygiene and safety reasons. 

  • Always bring your ID, Right to Work in the UK and DBS certificates (original documents only). You can bring a packed lunch, snacks and water but will only be able to access them during your break. Please note you won’t have access to your phone during your work hours.

  • Most nurseries open around 8am and close around 6pm. The day starts by welcoming the children in the nursery and taking them to the breakfast area. The day is then broken down into learning activities (music, storytime, messy play, art etc), free play, outdoor play, meals and snacks. After lunch, children aged 0-3 have a nap. Your role will be to support the nursery’s team. This means helping setting up activities, tidying up, overseeing meals and feeding children, caring for them and ensuring they are safe at all times. You will be expected to engage with the children in a respectful and stimulating way, as well as being proactive in helping the permanent team.

  • We are in touch with a number of providers who can help you with training and qualifications, from free introduction training to First Aid certificates and full Early Years Education qualifications. Contact us at ops@kalendit.com if you would like more information.

  • You will need to contact the nursery directly to let them know as soon as possible. 

    You will also need to edit the hours of your shift in the Timesheet Review section to reflect your lateness. 

    Lateness of 15 minutes and over are not permitted unless something that was out of your control happened, such as a delayed train, a car accident etc. You will need to gather evidence of such an emergency and email it to ops@kalendit.com otherwise your account will be suspended, you will lose your future bookings and will need to pay a £30 re-admission fee.

  • You can cancel your shift without any consequence up to 24 hours before the start of a shift. 

    Cancellations made during the 24 hour window are considered “Last Minute Cancellations” and are not permitted, unless in case of emergency. 

    If you have an emergency and need to cancel a shift, here is the procedure to follow:

    1. Inform the nursery ASAP: you can find their contact details in the booking;

    2. Cancel your shift in the app so that our system looks for a replacement;

    3. Inform Kalendit at ops@kalendit.com and provide evidence of your emergency, such as doctor note, hospital note, prescription etc. 

    If you follow the procedure and provide evidence, your account will be re-activated with no consequence. If you fail to follow the procedure or do not have valid evidence, you will need to pay a £50 re-admission fee to resume working with us. You will lose all your future bookings in the meantime.  

    Please note that your account will be permanently suspended if you cancel more than once within 30 days.

  • You will need to edit your hours in the Timesheet Review section. If you need help, please contact us at ops@kalendit.com as soon as possible. 

    Any change in worked hours needs to be communicated by Monday midday. Please note that failure to inform Kalendit on time means the hours won’t be changed.

  • All Kalendit users are able to cancel their bookings up to 24 hours before the start of the shift. If a nursery cancels your shift you will be notified by email and push notification on your app. Cancellations always need to be treated as a last resort and are best avoided as they tend to be disruptive and frustrating.

  • Nurseries’ and parents’ telephone numbers are displayed on each booking. Just click on the booking to see the details.

  • Yes, a nursery can send you home earlier if they have less children than expected. They will pay for the hours you have worked with a minimum of 4 hours.

  • One of Kalendit’s main goals is to empower child carers by allowing them to accept the shifts they want at their own convenience.

    You will be able to set a minimum hourly rate, within reason and reflecting sector trends. This will allow us to show you shifts that best match your expectations. 

    You will be able to pick shifts at your own convenience in line with your remuneration expectations. 

    To make sure you don’t miss out, You will at times be shown shifts that have not been covered and which are priced below your desired rate. These will be labelled “Additional Opportunity” and you will be able to accept them or ignore them at your own convenience.

    To give you an idea, these are the current price trends on the platform: 

    Unqualified educator: £12.5-14 per hour;

    Qualified educators: £14-20 per hour;

    Last Minute requests made on the same day or the night before start at £13 per hour.

  • Payments are made weekly on Tuesday by 8pm for the two previous weeks. Kalendit will send you a summary of your hours as well as invoices for your tax return. 

    Please note that payments are automated so any change in working hours needs to be notified to Kalendit by Monday 12pm each week.

  • Kalendit started from its London base in 2018 and has since expanded nationwide.

  • All the jobs available are displayed on the Kalendit app, clearly showing the name of the Nursery or Family, their address with a link to the map, a contact detail and the pay. The shifts vary, from 4h to a full day. We have dozens of jobs coming up everyday. 


    If you struggle to secure shifts on the app, it might be that there is an issue with your settings. Please contact ops@kalendit.com and a team member will look into your account to help you.

  • Kalendit Educators are required to be self-employed as per our T&C. This is because we believe this is the best model to empower workers, allowing them to decide where, when they want to work and how much they want to earn. 

    As a self-employed, you will need to register with HMRC to get a UTR number and do your own tax return. This means you will be able to claim all your work-related expenses: travel, petrol, work uniform, lunch, drinks and also childcare equipment, DBS check, First Aid certificate and even the cost of your accountant if you have one. 

    We understand that the tax aspect of being self-employed can be off-putting for those who have never done a tax return. This is why Kalendit has teamed-up with digital player Go Simple Tax. Its software allows users to collect earnings and expenses and submit tax returns automatically.   • Ensure that your Kalendit profile is up to date with all the key information about your availability, hourly rate and qualifications. Make sure you write a concise but informative biography saying how long you have been working as a childcarer, what makes you an outstanding childcarer and why nurseries and parents should book you. Please also make sure that your profile picture is professional and shows your face clearly. 

    Kalendit works on a first come, first served basis. Make sure you allow push notifications for the Kalendit app so that you will see all the new jobs in real time and accept them.

  • Most nurseries are constantly looking to hire qualified staff, and at times unqualified staff. A good way to be recruited is to start covering ad-hoc shifts in nurseries and work hard to be noticed. 

    Working as a supply nursery staff will also allow you to visit different nurseries, meet their team and children and see which could be a good fit for you. 

    Kalendit will help you in this process so please let us know in advance if your goal is to find a permanent job.

  • This is a perfectly fine and natural thing to happen. Nurseries can use Kalendit to spot talents and recruit them. 

    Both parties are however required to disclose these talks and any potential employment by a nursery client to Kalendit as per our T&C. 

    Please let us know when a nursery approaches you for employment so that we can follow and help with the process.

    Please note that failure to disclose a permanent employment by a Kalendit nursery client will result in a breach of our T&C and could result in legal action.

  • It is a request made by the nursery on the same day or the night before and paid at least £13 per hour.

  • Nurseries and Parents have the option to star their favourite educators and add them to their Favourites. Favourite educators will receive requests 2 hours ahead of other educators.

  • We offer £30-80 (depending on qualification and the locations) for every educator you introduce as soon as they become active on the platform, that is, after they have completed their first shift in a nursery or a family via Kalendit.
